The routine is just 2 update queries, that set Objects.OnView to 1 or 0, scheduled in SQL Agent. Since we have strict rules about ending room names with certain characters, the update queries have WHERE clauses something like RIGHT(Locations.Room,1) = 'E' and RIGHT(Locations.Room,1) = 'S' with a few joins to work back to the Objects table. That is all there is to it. Nothing fancy. This was home brewed.

I like what you're doing at MFA Boston with a not MFA site and I would love
to hear more about the routing you're running that updates the "On View"
check box for you in the data entry display mode.  Our curators and docents
would be thrilled to have that sort of information.  Is this an SQL stored
procedure that you did on your own or did you have help from Gallery?  Our
locations don't have a storage or exhibition marker like your "E" and "S" so
I'm wondering how we could define one for ourselves.

We have a site named: Not MFA.

Under this there are sub-sites:
Deaccessioned
On Annual Loan
On Loan
Returned to Lender

For the sub-site "On Annual Loan" we have sub-locations (Unit type) for the
various institutions that we lend to long-term.
We do not do the same for the "On Loan" sub-site as they are too numerous.
This information can be seen by going to the linked loan record.

All of our storage and Not MFA sub-sites end in "S" for storage. Exhibition
areas end in "E." Each night a routine is run that clicks the On View button
on or off depending if an object is stored in an E or S location. That way
people who cannot see our locations can determine if an object is on view or
not.

Hi all,

I was curious as to how everyone is handling locations for objects which
are currently out on loan.  We have 7 objects out on loan to LACMA right
now
and when an object goes out we update its current location to "On Loan"
and
that is a site in the loc hierarchy.  Most of our users can't see location
because its a security controlled field available only to registrars,
curators and conservation.  So we have a Status Flag that indicates that
the
object is out.  Is anyone doing anything differently?  I was considering
adding sub sites to the "On Loan" site that indicate the actual location
of
the object in the location authority.

For example
On Loan
     The Metropolitan Museum of Art, NY
     The Los Angeles County Museum of Art, LA
and so on.
