Phoenix Art Museum is looking for a Collection Database and Registration Assistant to maintain the Museum’s collection database, The Museum System (TMS).  Responsibilities include, but are not limited to, inputting new data, updating and correcting existing data, and ensuring consistency of information in the database. 

The CDRA will also provide general administrative support for the Registration Department and will perform basic registration and collection management tasks as needed, which may include recording the condition, receipt, shipment and location of works of art in the permanent collection, loans and special exhibitions.

MAIN JOB DUTIES
1. Responsible for day-to-day upkeep of TMS including inputting new data (i.e. object records, incoming and outgoing loans, exhibition records, conservation and condition reports, etc.)

2. Responsible for TMS cleanup projects including, but not limited to, updating information according to the TMS Style Guide, researching and merging duplicate constituent records, completing exhibition records by researching and linking objects, reviewing existing relationships between object records for accuracy and updating as needed and assigning object records medium and subject attributes within the context of the TMS Thesaurus.

3. Maintain protocols and standards per the TMS Style Guide.

4. Prepare TMS object records for inclusion in eMuseum.

5. Customize TMS for use by various departments including preparing department-specific Crystal Reports and creating custom forms, list views, and data views in TMS.

6. Assist IT staff with performing TMS upgrades.

7. Provide museum-wide support and training to TMS users.

8. Assist with additional database projects as assigned including digital and website initiatives.

9. Assist with registration and collection management tasks including, but not limited to, inspecting art objects and completing condition reports, creating hard copy records of the permanent collection, loans and special exhibitions, assisting with yearly inventories and participating in the movement and storage of works of art in accordance with best practices.

10. Provide general administrative support for the Registration Department including preparing correspondence, responding to inquiries, etc.


MINIMUM QUALIFICATIONS:
1. Bachelor’s degree in art history, museum studies, library sciences, information technology or equivalent.
2. Minimum one year working with relational database systems or equivalent combination of education, training, experience.
3. Experience with The Museum System, Crystal Reports, and eMuseum is preferred.


Knowledge of:
1. General museum registration and collection management systems and policies;

2. Controlled vocabularies, and digital images standards;


Skill and Ability to:
1. Be highly proficient in Microsoft Office (Word, Excel, PowerPoint).

2. Be well organized, have great attention to detail;

3. Multitask on several assignments concurrently with the ability to meet deadlines and work under minimal supervision;

4. Perform computer data entry for extended periods of time, often including repetitive tasks.

5. Life 30 pounds unassisted, carry objects, climb ladders and stairs, and stand and sit for long periods of time.

6. Work independently and as part of team;

7. Communicate effectively both orally and in writing;

8. Establish and maintain effective working relationships with internal and external customers, including Museum staff, visitors, members, volunteers, and supporters
