Responsibilities

The Associate Registrar of Exhibitions coordinates and organizes registrarial aspects for in-house and traveling exhibitions for The Ringling to include exhibition logistics, domestic and international loans, insurance and contracts, art handling, and supervision of processes related to the transportation, condition reporting, cataloging and storage, and installation of art objects. Serves as Registration Project Manager as assigned by the Chief Registrar.

•	Acts as Registration Project Manager for exhibition and collection-related projects assigned by the Chief Registrar. Works in tandem with assigned PREP Project Manager to complete all aspects of the exhibition to meet opening deadlines. This includes coordination of staff and contractors in the execution of tasks, providing logistical support in the movement of objects, interfacing with external clients such as couriers, vendors and contractors.  Communicates regularly with Chief Registrar to inform on the status of assigned projects. 

•	Works closely with curators, security, conservation, and preparators in fulfilling installation and de-installation needs for exhibitions, gallery rotations, conservation treatments, and security requirements.

•	Works with FSU legal counsel to develop and review loan and exhibition contracts. Process all contracts and invoices related to the exhibition loans, and shipping receipts. Obtains and manages loan agreements for in-house exhibitions. Creates and maintains accurate exhibition and loan files in TMS database which contains: legal documentation, updated checklists, exhibition budgets, and pertinent correspondence with lenders. Obtains/provides facility reports as necessary.

•	Coordinates and organizes registrarial aspects for in-house and traveling exhibitions as assigned by the Chief Registrar. Organizes and updates the exhibition schedule as necessary.  Locates and examines works to be shown and coordinates conservation, transportation, and preparation of artwork. Oversees installation of artwork with regard to its safe handling and display. Provides recommendations on appropriate security measures in conjunction with the conservation and security department. Coordinates all transit arrangements, insurance, and/or domestic or international indemnity arrangements for traveling exhibitions. Generates loan-related documents, creates and implements schedules, coordinates courier and installation logistics for traveling exhibitions. Provides supervision of packing/unpacking and installation/de-installation. Ensures exhibition contracts are adhered to at all times.

•	Maintains and updates museum Facility Reports as necessary. Responsible for the submission to lenders and venues to complete loan and exhibition requirements.

•	Monitors and maintains dataloggers, regularly reports on environmental conditions for all venues, and makes recommendations for environmental adjustments. Monitors all traveling and in-house exhibition artwork for the duration of the exhibition and updates lenders as requested with climate readings. In conjunction with conservation staff, develops, maintains and implements integrated pest management guidelines.

•	Collaborates with the Registration department to develop, update, and review collections procedures, plans, and policies including exhibition policies. Performs collections inventories and monitors internal movement of objects. Assists in training, working with, and supervising interns. Plans and implements projects for continuing internship program. Maintains education to keep up with current best practices and standards of the museum profession.

•	Implements and/or carries out emergency protective measures and maintenance of storage and gallery spaces. Communicates required emergency related notifications to lenders and other outside entities.

•	May be required to travel (nationally or internationally) to serve as a Museum courier.  Assignments are based on the needs of the Museum. Courier training and certification is required prior to the incumbent serving in this capacity.

Qualifications

•	A Bachelor's degree in Art, Art History, Museum Studies, Public History, or related field and four years of related experience or a combination of post high school education and related experience equal to eight years.

•	A minimum of 3 years' experience in museum exhibitions and Project Management Skills.

•	Knowledge of standard museum loan and registration practices including experience with loan documentation, contract review, and fine arts insurance.

•	Knowledge of applicable computer applications, including Microsoft Word and Excel, and applications related to collections management databases.

•	Ability to communicate effectively verbally and in writing.

•	Ability to establish and maintain effective working relationships in a team-oriented environment.

•	Excellent organizational skills and ability to multitask to meet project deadlines.

•	Knowledge of art storage and display methods, techniques, and procedures.

•	Knowledge of the concepts, principles and practices of collections management to include proper handling, installation, preservation and/or maintenance.

•	Knowledge of and ability to apply the processes, procedures and methods used in museum operations in compliance with applicable governing entities such as the American Association of Museums.

•	Knowledge of the principles and practices of project planning, development, and evaluation.

•	A valid driver's license or ability to obtain prior to hire.

Preferred

•	Master's degree.

•	Advanced knowledge of The Museum System (TMS).

•	Advance knowledge in coordinating exhibitions with international loans.

Anticipated Salary Range

Anticipated salary range of upper $30,000s to mid $40,000s + Florida state benefits available.

Schedule
While the primary working hours for this position are Monday through Friday between 8:00 am to 5:00 pm, the incumbent may be required to work evenings, weekends, or holidays based on the needs of the Ringling.
