When I was at DMA our collections manager put together extremely detailed end-user documentation as wiki pages in Confluence (similar to Sharepoint). All DMA staff could securely access the content via a browser, and my recollection is that the homepage itself was embedded or linked from the TMS application splash page.
The benefit of doing it as a wiki is that it's extremely flexible in terms of formatting, search, content updates (both text & images), content organization & hierarchy. So if you have access to Sharepoint, Confluence or other company intranet platform it makes sense to author it there as native web pages (we had similar wikis for our digital asset management system, IT FAQs etc ). The hard part, I think, is actually writing the documentation!

I use the old version (read: bare bones, but more secure than the current version) of Google sites to do my documentation. Similar to Sarah, I use the Microsoft Snippet tool and take screenshots of every step of the process, then annotate in Photoshop along with the written instructions. With each change in procedure or database upgrade, I try edit the site as soon as humanly possible so that it's always up-to-date. I will also note the date of each process in the event (e.g., "as of Nov. 29, 2018, this is how we do X). The site landing page is what you see when you log into TMS, and I also send the link after any training and refresher. We're in the process of configuring a Sharepoint for our museum and since the college is a Microsoft client, I might migrate the pages there so that we can receive support (our Google account is very unofficial).

Hi Aaron,
I have been slowly creating "how-tos" over the past few years to get my colleagues more comfortable with using the database. I type everything into a Word document, use the Microsoft Snippet tool and paste the relevant screenshots into the document. I then use the symbol tools provided to highlight any areas of import on the screen shots.
They are then converted into PDFs and uploaded into our Museum's SharePoint, for collegial access.
If someone is in a pinch and we aren't effectively communicating via email, I'll exercise the same steps directly into the email, and copy and paste that info as a draft Word Document prior to sending so that I can tidy that up and have another how-to completed for whatever step they needed assistance on.

I'm curious to know what software you use to share your TMS-knowledge with coworkers and others who need it. I've used annotated screenshots for years, using a program called Clarify, which quickly and easily annotated sets of screenshots which could be exported as multipage pdfs (think SnagIt, Skitch or Jing, but with the ability to make annotated multipage documents). Unfortunately, it's no longer being sold or developed. What do you use to share your knowledge or explain how to do things in TMS and other programs?
