At the Getty, we have several media collections.  TMS media records
exist for all physical and digital media in the Museum's Photo Services
department and the circulation of those materials are tracked using the
circulation aspect of the TMS Media module. All materials are assumed to
be in Photo Services file room  filed by department and accession
number.  As the materials tend to move around on the shelves from time
to time, we don't find it useful to track any more in depth location
information (like shelf or compactor row #) in TMS than the media is in
Photo Services or checked out to someone for a purpose.

As we began to create media records to represent the slides in our
Museum's Slide Library, we decided to use attributes and created a
location hierarchy for media to account for several possible slide room
locations, again we don't record a more specific location because as new
slides are added or old ones retired, specific locations change. For
slide collections we also use attributes to record orientation and then
use that value to print our Getty logo on the slide lable as an
orientation marker.

We put descriptive information like "post con. overall" or "3/4 view
open" in the Public Caption field, primarily because it shows on the
media tabs in other modules.

You might think about using the repeating text field, and making the
text
type "Location." That way, you could record a location history for the
media
object. Just a thought!

Hello Users,

We are going to begin tracking our slides, transparencies, and black
and
white photographs in the Media Module.  Since these are physical media
objects the screens "File Info Card" and "Archival Storage" do not
appear
and "Archival Storage" is where the physical location of the back-up
digital
image resides.  I was going to modify the this screen for the physical
images but TMS does not provide them.  So, where are people recording
the
physical locations for this type of media?
