Hi!

I delete User accounts on termination of employment.  This applies to permanent staff, contractors, and volunteers.    As soon as I have an exit date, I schedule a deletion for the end of that day.

I disable accounts after 90 days of a user not logging into TMS.

As a rule, I never delete users from TMS. A former intern or fellow may return as a full-time employee, so it's useful to be able to give them access to their existing saved queries and packages. So I only disable their accounts in TMS.

Since there is rarely overlap between a departing and incoming employee, I find that it is beneficial to retain the disabled account to ensure the new employee has all the permissions and resource access of the outgoing employee.

I am interested in other institutions’ policies and processes for retaining, deleting, and/or disabling TMS user accounts for former employees. Are there recommended steps to take prior to deleting an account? Is disabling an account useful?
