Hi Stephanie, if you want to be able to run reports and do lists I would make a single object record for each mount. I would have tied it to the number of the object that it belongs to i.e. Object # 2012.14.3 and the mount for it would be 2012.14.3.M that way you can add both of those records to the exhibition record and then by going to 'Related Objects' be able to pull up the lists of both objects and mounts related to that exhibition. Other route to take would be to create mount as a new component to the object. That way you'll be able to track mount's location (and potentially a barcode) and always see which object goes with which mount. We do this for tracking frames that go with certain paintings. And that way when you are in an exhibition record you will be able to choose whether the object goes into the exhibition with or without its components. Components are a little tricky, if you want to visit us at some point I could explain the pitfalls and advantages of using them. The most important thing to remember is that object themselves don't have locations. It's components that do. I.e if you have a record with no components then by default you have 1 component and TMS tracks it's location. If you want to add a component of a frame to a painting. You need to remember to call your .1 a painting and only .2 a frame.
Hope this helps,

Olga.

Hello all –

I have to manage mount production and conservation for 300+ objects which will be installed in our new museum. There must be a way in TMS to do this, but I am not clear which method makes the most sense. I need to produce various reports: list of objects which require mounts, list of objects going to mount-maker X, etc.

I have set up a flex group in Exhibition Objects. I am still trying to create an advanced query to capture the results at the object level. I can get the advance query to give me the exhibitions which have objects that meet the criteria, but not a list of the objects themselves. I tied it to the exhibition rather than the object because each mount is specific to an installation (using the logic that one object can have many mounts).

Perhaps I am going about this the wrong way? Before I invest any more time, I thought that I should poll those who have been using TMS for a while.

Thanks.

Stephanie
