Hi Sari-
At this time, we don't use either of those fields, but instead put all books and published resources in the Bibliography table, creating a bibliographic record for each resource, and then linking the referenced object(s) from our collection to it. You can then indicate what page number the object is referenced on, as well as if it is illustrated, and what the figure number, catalogue number, etc., is, as well as any additional notes.
This seems to work very well for us. The idea is that if staff or researchers are looking at an object in TMS, all they have to do is go to the Related --Bibliography menu, to get a listing or a look at the resources available which reference that object. I can also indicate whether or not the resource is "virtual" (i.e., we don't actually own a copy), by indicating this is the Format field.
Unless I'm missing something - the only thing that appears to be missing is the ability to track how many copies you have, and where they are located. Possibly, GS will develop this feature in the future.
But, maybe this is overkill, or not quite what you are trying to accomplish?
