We have dealt with disclosure of current location and other confidential
information by delivering TMS information to the majority of internal staff
via a customised version of eMuseum. Only collection management departments
(Registrars, Art Handlers etc) have direct access to TMS.
 
We record a censored version of the location name in the location authority
record, e.g. photographic studio location will be very precisely described
in the fields "Site", "Room" etc, but will be described simply as "In
Photographic" in "Description" field. In addition we record a security
rating for the location. In the case of public locations the censored name
is the same as the uncensored one.
 
Our customisation of eMuseum recognises which network group a user belongs
to, e.g. Education, Information Desk, Registrars, checks whether this group
has certain network rights, and according to the answer, allows or does not
allow the eMuseum user to view the uncensored location name, or to search
for locations with a non-public security rating.
 
You might be able to take advantage of the fact that the only location field
displayed in Label Copy mode in TMS is "Description" field, and this could
perhaps provide a way of delivering a censored version of current locations
to staff who do not have access to the uncensored version displayed in Data
Entry mode. Or you could experiment with User Defined Forms if you are using
a version of TMS that provides this facility.

Dear TMS Users,
 
Our institution is beginning to think about the ways in which the Education
Department will be using TMS and I am glad that they want to use TMS.  One
concern I have is in dealing with an objects' location.  I know that I can
delete the field for them through their security level but there might be
cases where they need to know the location of an object, for instance in
designing a tour.  I would be interested to know how other Education
Departments are using TMS and how you have dealt with the location issue.
