Collections Management Assistant

Crystal Bridges Museum of American Art in Bentonville, AR seeks a full
time Collections Management Assistant to provide general support on
projects related to collections management, including data entry,
assistance with basic artist/object research, digital imaging,
cataloguing and other administrative duties.  The duties of this
position will vary and grow as the museum moves through the early stages
of its life cycle.  Therefore, the ideal candidate will be
detailed-oriented, accurate, computer literate and comfortable with
change. This non-exempt position will report to the Chief Curator and
will receive functional instruction from the Collections Coordinator. 

 

Major Duties and Responsibilities (Essential Functions)

*       Collections Database

        *       Input and assure accuracy of basic object information
for new acquisitions
        *       Update/revise basic object information as needed for
existing collection
        *       Assist in generating monthly management reports
        *       Scan and/or prepare information (such as provenance,
literature, exhibition history, condition reports and conservation
treatment records) available from object file or other sources for entry
into collections database
        *       Create new reports upon request
        *       Assist in setting up database thesaurus to facilitate
searches

*       Rights and Reproduction

        *       Respond to initial reproduction inquiries for publicly
announced art works
        *       Prepare draft of reproduction contracts for internal
review
        *       Coordinate correspondence with requestors
        *       Coordinate fee payments with Accounting Coordinator
        *       Create reproduction contract hardcopy file
        *       Assist in research of image copyrights
        *       Maintain rights and reproduction tracking log
        *       Coordinate tracking of publications received through
reproduction contracts with library personnel
        *       Maintain rights and reproduction information in
collections database

*       New Acquisitions

        *       Track status of pending purchases
        *       Assist in obtaining images and other object-related
information for new acquisitions
        *       Create hardcopy object files for new purchases
        *       Maintain log of primary acquisition documents
        *       File originals of acquisition-related documents in safe
deposit box

*       Collection Images

        *       Label and catalog CD's and DVD's containing art object,
construction site and exhibition imagery
        *       Maintain transparency tracking system
        *       Assist in maintenance of digital image archives by
function (press, rights and reproduction, exhibitions, etc.

*       Other General Duties

        *       Assist in creation and maintenance of hardcopy loan
files
        *       Assist with art storage facility inventories and
maintenance of inventory records
        *       Assist in maintenance of detailed object location data 
        *       Assist in tracking of object and frame conservation
projects
        *       Act as courier periodically
        *       Other duties as assigned

 

Minimum Education, Skills, and Abilities

*       Bachelor's degree from accredited college or university
required, with course work in art, history, museum studies or related
field preferred

*       Minimum of 2 years relevant experience preferred
*       Database experience, especially with TMS, a plus

*       Proficiency in use of Word and Excel Microsoft Office
applications
*       Knowledge of principles and procedures of filing and record
keeping
*       Strong organizational skills
*       Strong analytical skills

*       Ability to work independently and with initiative
*       Ability to multi-task and think critically
*       Excellent oral and written communications skills
*       Enthusiasm about being a member of a team developing a major new
art museum with a strong visitor-centered community dynamic
*       Highest ethics as they relate to all aspects of business
*       Ability to understand and maintain the highest levels of
confidentiality

 

Work Environment

Position requires standing for prolonged periods of time, sitting at
desk and utilizing a computer for prolonged periods of time, and good
eye/hand coordination.  Position requires physical condition necessary
for light to moderate lifting.   Position may require periodic travel. 

 

Entry salary range for this position is $14.00/hr - $16.83/hr.  Crystal
