MANAGER | COLLECTION & EXHIBITIONS TECHNOLOGIES
Supervises and coordinates workload of Collection and Exhibition Technologies staff. Coordinates training of new users on the Collection and Exhibition Management System (CEMS), which is The Museum System (TMS) by Gallery Systems. Supervises CEMS Helpdesk and provides first-level support for TMS users as needed. Organizes and chairs TMS user group meetings. Develops and documents cataloguing standards and procedures for use of TMS with Museum departments.  Develops TMS policies with senior-level staff. Oversees integration of TMS for public access and other Museum projects in conjunction with Information Technology and Digital Media departments.  Promotes use of TMS and collection information.  Develops new TMS Crystal Reports with Museum departments and maintains standards for existing TMS Crystal Reports.  Coordinates with Information Technology on system hardware, upgrades and SQL development.  Maintains system administration and configuration, including application settings, security groups and new user accounts.  Works within SQL Server to run queries, updates and create SQL Views for use with TMS and Crystal Reports.  Acts as primary contact with TMS vendor, Gallery Systems, New York. Maintains department budget and administrative duties. Reports to Director, Collection Management and Exhibition Registration.

Requirements: Bachelor’s degree (Master’s degree preferred), preferably in Art History or related field.  2-3 years’ experience administrating a museum collections management system.  Strong relational database skills (Access and SQL Server preferred).  Proven expertise with The Museum System (TMS).  Superior knowledge of Business Objects Crystal Reports software.  Excellent interpersonal, organizational, writing, proofreading and analytical skills, with close attention to detail.


COLLECTION & EXHIBITION MANAGEMENT SYSTEM (CEMS) ASSISTANT | COLLECTION & EXHIBITION TECHNOLOGIES
Provides first level assistance to curatorial and registrar staff regarding use of Collection and Exhibition Management System (CEMS), which is The Museum System (TMS) by Gallery Systems. Works with Museum staff to prepare and manage Crystal Reports for TMS. Represents Collection and Exhibition Technologies in meetings with TMS users throughout Museum to discuss production goals and determine where information is incomplete or otherwise in need of attention. Coordinates with Information Technology Department to resolve functional issues. Provides data entry assistance as well as maintain and document data entry standards and procedures for object records and digital media. Reports to Manager, Collection and Exhibition Technologies.

Requirements: Bachelor’s degree in Art History or related field.  Strong computer skills (Microsoft Office, Access). At least 1 year of experience with The Museum System (TMS) or other museum collections management software.  Familiarity with Business Objects Crystal Reports software or other report-writing program.  Experience with computer support and/or customer service.  Excellent interpersonal skills and ability to work independently.  Excellent organizational, writing, proofreading and analytical skills, with close attention to detail.
