We have two big media projects going concurrently, so we use the auto generated numbering system for one project (cataloguing multiple views of around 9,000 objects that came into the collection as a group), so that one person can process a large number of images quickly and independently of other projects.

For images related to general collection, we created a rendition numbering system that provides a little meta-data type info built into the numbering schema. For the Prefix, we use "R" for images that are professional, reproduction quality and a prefix of "Ref" for photos taken by registrars (reference quality). The prefix is followed by the month, year, and sequential image number attached in that month, for example, an image attached today would be Ref.5.2010.1. This bit of info built into the rendition number is useful to us. I also have separate media folders for professional and reference images.

We created a separate "accessioning" procedure for digital assets that consists of the original accession number (undelimited) followed by a dot and a four position serial identifier. Assets are named via the digital accession number, which matches the rendition number.

Hi Maja,

We use the accession number of the object as the rendition number. Seems to work fine for us.

Hi All,

For rendition numbers, we’ve been using the default auto-generated format: R.current year-next sequential number, e.g., R.2010-1, R.2010-2, etc..

Does anyone use a different numbering convention? I admit, perhaps revealing great ignorance, that I’ve never needed to run a query based on rendition #. I’m wondering how rendition #s can be particularly useful & whether modifying the default numbering format is worth considering.

Many thanks,
Maja
