we are doing regular imports from access databases. These databases are specially designed so that each column in one of the tables of the database represents a specific field in the TMS database. The number of tables in these databases depends on the department, it can be only one, if no list fields are relevant, or more, if terms from the Thesaurus for example are in use. We use external access databases mainly in our archeology departments. They are used right on the excavation sites and are easier and faster to handle, as well as independent from our institutions IT network.
I think it is important to have them designed beforehand, to define which fields are necessary, which data is needed and how the available data can be adopted/adjusted to fit into TMS and its structure, in order to have the right information placed in the right fields and displays in the end.
Actually, its works quite well, but you have to be familiar with the TMS database structure and basic sql commands, as you will need to chose the right tables, tableIDs and query types to import the data, for example, if you add rows to a table, you will always have to add a login otherwise the access query is not working successfully. Sometimes more than one table or query is necessary for correctly importing data. I am usually creating a work database with links to the relevant tables in the TMS database and a list of queries needed to get the data into the right places which I can reuse each time I receive a copy with new data to import.
After the data has been imported, it is important to run the DB configuration maintenance procedures (to update sortnumbers, statistics etc.).

To aid in the import, I created a stored procedure that handled all of the heavy lifting. I then used the mail merge function in Microsoft Word to create a list of SQL commands with the values supplied by the spreadsheet, which I executed in the SQL console. Run some DB Config functions to rebuild search indexes, update statistics, etc, etc. And Bob's your uncle...

It's not very pretty, but it worked.
