I definitely did this when we were still on 9.35 – good to know it is no longer an issue!

Thanks Danielle!

All,

Regarding the orphan ThesXRef rows after deletion of a Media record containing ThesXRefs, we’ve reviewed this with the GS Chief Software Architect and he confirmed that it is a bug in TMS 9.35.  This was fixed in subsequent releases, and Media deletion occurs correctly in both TMS 2010 and TMS 2012.

If you’re still on 9.35 (as I know you are, Brenda), you should upgrade to TMS 2012 to resolve this issue.  In addition, if you’d like a script that will remove the orphan rows from your ThesXRef table, please contact [log in to unmask].

Best,

Danielle

Hi,

Just one last follow-up on this topic...

I decided to try out Jeri's suggestion about showing the inactive terms (thank you Jeri--I did not know that!) and coincidentally was doing the very same thing you were, Diane -- cleaning up a few old extraneous media records that linked to a now-defunct thesaurus term.  Here's what happened:

  1. I deleted five media records that happened to have the link to the thes term I'm trying to delete. When I search in TMS on Term Attributes using the term, I get 0 results.  All good.
  2. I go to Thes Manager and Check Usage on that term--it shows it's being used 5 times.  Boo.
  3. I look at the THESXREFS table and can isolate those five orphaned rows linking to this term's TERMID, all set with ACTIVE = 1.

So it looks like deleting media object records is not removing rows from THESXREFS.  Once I delete the offending rows from the THESXREFS table, I am able to remove the term from the Thesaurus hierarchy, no problem.

So Diane, I DO suspect there might be orphaned THESXREFS records out there.

Thanks Jeri – Tried that, but to no avail.  I go back to it every once in a while, maybe one of these days I’ll kit on the solution.

As my ‘bad’ terms were the result of an experiment in the Media module, where I think I later deleted the test media records, I’m wondering if the terms are floating around without an actual record to be linked to. Is that possible?

Anyway, one of these days I’m sure I’ll track them down – good luck Amber on your searching!

D.

In dbconfig, you should be able to set up a query group with the fields to search on inactive entries. It's a different branch of the query groups hierarchy.

I’m wondering if Amber is partially having the same problem that I’ve been having – I can’t find the silly inactive linked term to try to do the second delete.  I’ve tried playing with the dbconfig and the queries to search for the inactive terms, and also changed the term to have DONOTUSE in the front so it’s easier to spot, but I can’t find where they are linked.  It still shows up as ‘linked to 2 records’, but won’t come up in a search.

If anyone has any suggestions on how to track them down, you would be my favorite!

Diane.

Hi Brenda,

That feature should work to protect you against accidental deletes. In the thesxrefs configuration you can choose to 'archive deletes' or not. If the type is configured to archive deletes, a single delete keystroke will make it inactive, but still visible if you right-click over the control on the data entry screen. Once visible, you can delete a second time if you're sure it needs to hit the road.

Hi Amber,

I've found that if a Term Attribute is deleted from its context (say Bibliography), the THESXREFS record still actually exists but is set to ACTIVE=0.  It doesn't appear in queries, but still shows as being in use from the Thesaurus.  When I've found myself in this situation in past, I manually deleted the inactive rows directly from the THESXREFS table prior.

Don't know if that's the recommended way to handle it, but it worked for us.

Hmm… Ok, now that I am doing this properly, and it works, and I can do the search I thought I needed to do, I still haven’t resolved my original problem…

The reason I wanted to search attributes in the Bibliography module is because I have an errant thesaurus term that I need to delete, but I can’t delete it because it’s in use in one record.  So I’m trying to track down the record where the term is used and I’m just not finding it.

Here’s the problem.  Someone inadvertently added a local term under AAT in the Thesaurus:

When I try to delete the term, it says that it is in use in one record, Thesaurus Xrefs (Bibliography): 1 time, cannot delete.

I did a search on Terms(Attributes) = “Art, Modern--Themes, Motives—Exhibitions.”  I do get two records, but they are linked to the same term under Local Authorities (where it belongs).  I can’t track down a record using this term via the AAT hierarchy.  I’ve even tried deleting the link between the Local Authority version of the term to the two records, just in case, and that didn’t help (I didn’t actually expect it to).

Is there something I’m missing?  I’ve tried updating the database statistics and that didn’t help – maybe there is some other maintenance I should be performing?

You have to drop it in the Query Assistant (or other similar subfile), not the Bibliography Group.

Image attached.  That’s the order I’m doing things, and then I get the “Cannot!” message.

In which context?
