I would typically create a new location with a designation of something like:
NAF (Not accounted for)
Unsighted
Missing (note: this is distinct from designations of Lost or Stolen, both of which would indicate that some effort has been made to find the object) 


And move the objects that you could not find into this location.  This would allow for you to reliably find all the objects which need to be accounted for (either located or reported to risk management as lost).

Subject: Inventory--how to record that things aren't where they're supposed to be?

Hi,

 

We’re about to start an inventory of certain portions of the collection and I’m researching how best to record inventories in TMS. For the purposes of this project, we’ll use the “Record Physical Inventory” option. I understand how to confirm that an object is in its location. But, as we all know, sometimes a few things aren’t in the location where they’re supposed to be… Is there a way to indicate this in the Inventory transaction? Is this meant to be recorded in the Remarks field of the “Record Physical Inventory” transaction window? I want to record the fact that something isn’t where it’s supposed to be so that I can later run a query to create a list of such items that we need to make a second sweep search for.
