Here at the AGO, we create 3 separate constituent records. Two – one for each spouse and an extra one for both, for the couple. The reason being that in some modules in TMS, like Loans for example, if the couple is loaning us objects we need to be able to reflect that and since there is only 1 main Primary Lender (Constituent), that we want to reflect in our receipts, we have to in that case, use the constituent for the couple. i.e. Mr. and Mrs. Smith.

We decide based on whether the two individuals also need to be used independently of one another. If they don’t, we enter either “John and Jane” in First Name - or – “Mr. & Mrs.” in Honorific and “John” in First Name. Sometimes, we add them as a couple and later have to separate them, but that isn’t usually too much work.

I also create separate records, often even in cases of spouse teams/collaborators. Photographers Bernd & Hilla Becher, for example: he has died and she is presumably working. I have as an alt name "Bernd & Hilla Becher" for each of them- the attribution you'd see on most attributions.

Forgive me if this has been discussed before, but how our other institutions handling spouses or partners in constituent records?

In our previous system we frequently had one record (with a display name in the form of Mr. A and Mrs. B XYZ) but going forward I am wondering whether it makes more sense to create separate records for each person and link one or both to objects as appropriate.

Have you found a better way to handle couples in the constituent module?
