Here at Tate we’ve re-purposed the Insurance module to rather successful effect for managing copyright. Copyright policies are created with a ‘CL’ number, licence types are assigned, begin and, if appropriate, end dates are recorded and then Text Entries are used to record Copyright Credit Line (which is published online beneath the image), Licence Scope, Copyright Process, Special Terms and Web Clearance (which controls the publication of the image online). All objects covered by that policy can then by attached via the Objects tab and copyright holders and/or agent constituents are linked up to the object records themselves.

 

 

Copyright information for an image can also be easily retrieved by non-TMS users at Tate as the policy info entered into TMS is exported into an application accessible on our intranet pages. As you can see, it’s just another way of viewing the information as recorded in TMS.  

 

 

This data entry process was enhanced when we started releasing images of archive pieces online, through Creative Commons licences. It wasn’t possible to create a new licence type to assign to the archive pieces as these types of objects may be licensed through both Creative Commons and a standard “TRR” licence. As a result, any image licensed through Creative Commons is recorded on the object record itself via Text Entries. The object can then be linked up as appropriate to a copyright policy, alongside artworks covered by the same non-CC licence.

Dear Colleagues

 

I’m new to this group and would be very grateful to hear from any members who are using the TMS collections management system as their database for recording rights in their collections. I am trawling for examples - we are currently running TMS 2012 and considering setup in the ‘object’-level ‘Rights & Reproductions’ page but would love to hear which module others are using, and how they are using the various fields (dropdown values, etc) - as I’m sure there are some smart ideas out there. Any screenshots, etc, gratefully received!
