Yes, I had the concern about linking as well. It definitely needs to be taken into consideration before using intellectual child records. The intellectual child records have worked well for us except for the lack of linking capability. I am hoping the next version of TMS will fix this. ☺

Thank for the information on blank pages Hilde, I was curious how others were dealing with this.
Best,
Allison

Hi all,
we have recently been working with this as well, and we chose another solution than the one Allison describes. We cannot use intellectual records for our pages since intellectual records cannot be related to other records and many of our individual sketchbook pages are related by e.g. motifs to other objects.
We therefore organize our sketchbooks in the same way that Emmanuelle describes, with one record for the book itself and one record per page _with content_ (we don’t register any of the blank pages).
For most of our sketchbooks order is easily decided by the object numbers, but for at least one this is not possible for reasons which I’m not going to go into here. To make it possible to sort this book we add sequence numbering in the Portfolio field. This field is included in a list view, which makes it possible to sort on the field, and then browse through the records in the order of the book, cf. list view screen shot below.

Whether this is a good solution remains to be seen, it’s brand new for us, but it seems promising so far. Please feel free to ask questions or give us ideas of better ways to organize this!
Thanks and best,

Hi Emmanuelle,

I have been working with intellectual child records to fill this need. I am actually going to give a talk at collective imagination in 2016 on this topic, related to rare books. The naming conventions we use for sketchbooks are:

[accession number].[sequence number]_[side designation] for example: 31.32.51.01_recto ; 31.32.51.01_verso

This naming convention does vary a bit for rare books, but is generally the same. I have found this has helped our users differentiate between intellectual child records and other records.

Currently I am working with sketchbooks, logs etc. One of the issues I have encounter is loose pages in the books. Since they could be framed and placed in a different location I am doing some testing to determine how to incorporate intellectual child records and child records for an object.

I would be happy to send our current policy for intellectual child records if that would be helpful to you.

Best,
Allison

Dear all,

Calling on your collective wisdom to see how you might have worked out the parent-child records relationships, especially where assigning a specific order to the children is concerned.

We are dealing with complex objects, such as sketchbooks and portfolios, that have a master record for the overall object and individual fleshed-out TMS records for each page. The page sequence is critical and my question is how do you record the sequence in TMS? Side note: we do not want to rely on parenthetical accession numbers.

Are you using a field in addition to the relationship field? And if yes, which one and how?
Thanks!

Emmanuelle
