In my previous position as Associate Registrar at The Ringling Museum, I led development of the exhibitions and loans modules and dependent workflows. We used the shipping module as well, particularly the Steps utility to organize the unloading and staging, as well as, condition reporting timelines for exhibitions.
The TMS exhibit module serves as the central source for exhibit information. Fields were renamed and reports created to meet the milestones and communication checkpoints of our exhibition development process. A main goal in investing in the exhibitions module was to support a level of transparency, accountability, and reliability necessary to maintain the scope and pace of the museum exhibit schedule. The system, I believe, helped immensely with that.
There are definitely hang-ups with the exhibits module (hierarchy, formatting, and object-exhibit cataloging sync, being a few). Through reports we were able to leverage TMS, harnessing the power of centralized information, to help streamline installation schedules, communicate special object requirements, and facilitate efficiency in fabrication and graphics production.
I have a number of instructional documents outlining the workflows associated with the exhibition module that I developed for Ringling about a year ago. Each document is geared toward a particular department—curatorial, registration, preparation and marketing (which includes web). I can email to those who’ve expressed interest via the listserv and answer any questions you may have….and direct you to contacts at Ringling!

Hi all,
We are heavily invested in the loans and exhibitions modules here at the Walters. We also use the Exhibitions module to publish exhibition histories for objects to the online collections site.
We’ve found it works best to create a full “suite” of records related to every object that goes on loan, meaning that every loan must be linked to an exhibition and vice versa. The shipping module also plays a role here too, though it’s not part of the “object-loan-exhibition trifecta”.
Our system works well, but we are always seeking to overcome the complications of the exhibitions module (especially when generating checklists) – I’d love your feedback!
