We do the same thing as Jeffrey is suggesting.
Some of our dimension elements are programmed to not go to the public field, and you can also check or uncheck the box next to the element line when needed. We capture weights
of objects and expected storage size for a special project, but don’t want to show those publicly.
Using a subreport you can bring out a specific element at different times.

I would suggest adding the mat-related dimensions, but not marking them for display, so they won’t get written to the text dimensions field. Then create either
a SQL view for that data, and/or use a Crystal report to display it for your prep staff when they need it. We have done this successfully for dimensions only for conservators and design staff, while preserving the primary dimensions for public display.

We have a new situation that has come up, and I am hoping someone else has a good idea about how to handle this. Our TMS data goes to our website, so all of the public access fields need to have consistently formatted data for public viewing.
Our prep staff wants to add mat dimensions to the displayed dimensions so that they can easily see mat sizes for planning framing (we have about 4,000 works on paper stored matted). This information is useful internally but does not add to the scholarly record,
so I don't want it to be displayed on the website. Does anyone have a better way to capture dimension information for staff use? This could apply to other dimensions in addition to mats. Any thoughts would be appreciated.
