In addition to the group constituent, you may also want to link the individual to the object. Whether you display it is entirely up to you, but it would improve findability.

At the Smithsonian National Portrait Gallery, we have lots of these linked to our Catalog of American Portraits records. We enter them as “Individuals” (but I like Jeff’s idea of another constituent type for Family), and the surname goes in Last Name. I don’t love these constituents, but they’ve never caused us too much trouble. It’s probably a better practice to enter each constituent individually as a donor, with Credit Line presumably reflecting the group. But Jeff’s plan to add the families and then link the families to the individuals (when the need arises) is great.

We recently created a Constituent type of “Family” for this kind of thing. For purposes of eventual provenance linked data, we will also be creating basic records for each member of the family and creating associations between the Family record, and those of the individuals. A bit more work, but it solves a number of issues.

We only use “Alternate Names” for actual alternate names and spellings of the single Constituent record - I don’t recommend using it for the names of family members.

Subject: Constituents question

Hello All,

We are in the process of adding data for a collection of memorials on campus and have run across something that we are pretty certain other TMS users have some insight into how to best handle:

How do you capture the constituent information for objects donated by “friends and family of ---“? Do you add a constituent with that name exactly or do you have some other method?

Thank you!

Sylvia,
