I'm with Jeri - use a prefix like "zz". But instead of modifying all the reports, you could just modify the view vgsrpLocPurposesS_RO to strip the zz prefix, since most reports use this for their source.

In the interim, while you work out a solution or if you don’t want to obliterate values you used to use, I've seen many institutions put zz in front of the values they don't want users to select for new entries so that they sort to the bottom of the list. Reports that include this authority may also need adjustment and could include a formula to strip off the zz prefixes.

Hi Karen,

Do you have any IT Support staff that could help you with a SQL query? I don’t know if you are running TMS on a SQL Server database or an Oracle database – as we are at Tate.

A SQL query can be written to identify all of the object location records (table objlocations) that are linked to the location purposes that are no longer required. Once identified these records would have to be updated with a location purpose that is still required (could be set to 0, a default value for not entered) – another SQL query can be used to do this. I would not advise deleting the objlocations records using the location purposes you want to remove, as they form an object’s location history.

Once all of location purposes in the objlocations table have been updated, you can then remove the location purposes – either with another SQL query or through TMS.

If you don’t have IT support who can write the SQL queries, GS will be able to help, especially if a lot of objlocations records are using the location purposes you want to remove.

Best wishes

Diane

Hi Karen,

We just finished 3 days of TMS training, so I'm pretty fresh on this...Unfortunately,
You will have to deleted the unused locations in each file. Our trainer did say that you could have GS help with "batch" removals.

Hi All,

Just one last effort to see if anyone out there might be able to help us out (please see email below), as I didn't receive any replies from my first email. Any suggestions would be really appreciated!

Many thanks,

Karen

Hi Everyone,

I am wondering if anyone knows a way to edit or replace the drop-down list for the "Location Purpose" field. We have a lot of old items listed there that are no longer in use, even though they would still appear on some older historical records, we are no longer using them and want to avoid having anyone use these older terms in future.

I did try deleting them, but it would not allow me to delete them, as long as they are in some of our records. I am wondering if there is a way to maybe deactivate them or at least not make them visible in the drop-down list.

I really appreciate any suggestions on this!

Many thanks,

Karen
