PMA uses the Loan Type because TMS securities use it as department.  Ours correspond to administrative departments more or less because of that.  You certainly don't have to set up the types this way, but because securities are configured elsewhere around administrative departments it made sense back when we set it up this way, and that was many years ago.
We are still on TMS2014, so I don't know if the functionality of Loan Type has been changed in subsequent versions.
Securities and access though are something you should consider carefully if you choose to use the Loan Types.

Hi Sarah,

At the Philadelphia Museum of Art, we currently have five categories for Loan Purpose, which include the following:


  *   Incoming Long-Term Loan
  *   Incoming Special Exhibition
  *   Installation
  *   Outgoing Loan
  *   Outgoing Loan (Long-Term)

For Loan Type, we break it down to the Curatorial Departments, including one specified for Special Exhibitions, as well as one for Archives.

Here at the National Gallery, we use the following Loan Purposes:

  *   Long Loan In
  *   Short Loan Out
  *   Exhibition Loan In
  *   Long Loan Out
  *   Temporary Deposit

Long loans in and out are exactly that: long-term loans, usually for display alongside a permanent collection.

Short loans out are our loan out equivalent of Exhibition loans in: short-term loans, usually for display in a temporary exhibition.

We don't use Loan Type.

I am in the process of reviewing our workflow of the Loans module.  I wondered if anyone was willing to share some screenshots, or list of terms used for Loan Purpose and Loan Type.  Ours is a bit inconsistent so I would love to see how other museums establish these authority fields.
