At the National Gallery in London, we address this using a series of questions on our long loan in agreement form (TMS-generated, naturally):

3)            Do you grant permission for the National Gallery to reproduce these images in any media for non-commercial archival, educational and promotional purposes, including the National Gallery website?
If yes, please provide an image copyright credit line (e.g. Copyright © Private Collection 2008):

4)   To better showcase works of art on the National Gallery's website we would like permission to include an enlarged version of the image of your loan. This facility, which includes several copyright protection methods, permits visitors to zoom in to the image and allows them to enjoy the work in closer detail. Do you grant permission for us to do this?

Please note that the permissions to use/reproduce images of the loan(s) sought here are for non-commercial use only. Occasionally third parties or the National Gallery Company seek permission to use/reproduce images of loans for commercial purposes (e.g. on shop merchandise, in commercial publications). Where such requests are received, lenders will be contacted separately for the relevant permissions.

Having said that, we have a more nuanced set of image permissions that we record against the object using custom fields; but (a) these should be attributes of the image, not the object, so that’s just wrong; and (b) they don’t reflect the categories of reproduction we use elsewhere, so the whole thing needs looking at again.

As an addendum to Renne's question about displaying long term loans on your collections websites, I would be interested to know how many of you have specific language in your loan agreements to address this? If you do specify web display, I would be interested in knowing the language you use in your agreements.

The National Gallery does display long-term loans on our website. We use the credit line to indicate that the work is on loan to the National Gallery; in addition to this, the inventory number will begin with the letter ‘L’. At the DIA we do not display regular long-term loans on our website. We have images of Guest of Honor Loans, which are one-offs that are considered like a mini exhibition, and we display a selection of loans from current exhibitions. But these are found on the exhibition pages, not individual object records from the collection search feature. We had a complaint several years ago from a patron who was dismayed that his long-term loan of a Korean vase was not searchable on the website.

Good Afternoon,

For those of you, who have long-term loans, are these objects included on your online collection pages?  If so, how do you indicate to users these are on long-term loan and not part of your institutions permanent collection?  Are only certain long-term loans shown, for instance WPA objects?  This topic has come up as we are in the process of redesigning our collection pages.

Any advice, procedures, or polices, on this issue is appreciated.
