We use the “Paper File Reference” field on the “Documentation” tab to record if an object is listed on an historic inventory or appears in historic images, materials controlled by our Archives.

How about exploring the Bibliography module? You'd only have to create one record, which you could link to all your objects, and there is Media tab on the Bibliography record if you wanted to scan any of the material and have it available through TMS.

Hi everyone,

I had posted this question on CSAAM a while back as I felt it was a larger cataloging conversation, but I received no feedback. I am posting here in hopes that others who have been through similar circumstances might have some insight to share. Many thanks in advance for your guidance!

Dear All,

Many years ago my institution acquired approximately 12,000 photographs from a single donor. We are coming around the finish line in completely documenting this gift and I want to find a useful way to reference the very helpful research materials the donor amassed alongside their collection. Most of these documents are spiral bound, much like a catalog on the collection, and reference individual or groups of photographs. All of this pertinent information will be captured in the object record (our institution uses TMS). However, these are primary resources relating to this collection and I want to effectively reference them in the object record, as well as properly document them in their own right. Has anyone else come across a similar situation? How have you handled this material?

Any thoughts and guidance are much appreciated. If I can share anything further, please do not hesitate to let me know.

Thank you!

Amanda
