External Email - Exercise Caution

Hi Stephanie, 

I use a similar solution as Jeremy. I have a Word document that lists all the reports we have with a short description, organized by folder and then alphabetically by report name. I periodically update this document and save as a pdf for users to refer to on our internal museum Google Drive (where I keep all the database user guides).

I use a folder system to organize reports as active or unused. I also have a folder for our "light" users that is much shorter than our "super" users.

If its custom from someone else I’ll note that or note whether I did it. I also keep a column of any changes to the report that have been requested or are on the backburner.

I also log reports that aren’t in TMS right now, but are in the report drive.

It can be kind of tedious sometimes, but I’m extremely reticent about adding new reports and try to keep our report totals under like 30-50 since we’re a small unit. The spreadsheet helps me make assessments about what is already in the database, versus “inactive” (sitting in the report drive unlinked to TMS).
