We have a Subsite “Server-digital file” as a location for time-based media which resides on our server. If we have the time-based artwork on a physical medium (CD, DVD, thumb-drive), then is has a traditional location.

We have a Site called Yale Digital, with 2 subsites, 1 for our DAMS, and 1 for a limited-access server.

We have a "Generic External Location" which has subsites for "Returned to Owner", "Missing", "Deaccessioned", etc. This required a constituent with the same name ("Generic External Location"), and an address with the Street of "Not a real location".

We also have a "Generic Internal Location" which has subsites for "See parent record", "See children records".

Good Afternoon Wise Ones,

We would like to track the location of files (audio and visual) we are receiving. Currently, we are using the program Sync to facilitate the transfer of these files, whether from an artist, gallery, or institution. In looking at the location authority, I was wondering if others have done this. If so, did you make this virtual location a Site so it needed to be added in as a Constituent or did it become a Subsite.

Thanks for your advice.

Best,
Renee
