So, we actually stopped using Venues for our Permanent Gallery Rotations because we were not able to see which Rotation/Venue the object had been displayed in the Related tab view and this was causing problems for our Curators.

We instead we created a Parent Exhibition for “Permanent Gallery Rotations” and linked a Child Exhibitions for each rotation so that they were all related, but still individually able to be represented in the Related tab.

We also add a written sentence into the Exhibition History field for quick view. We just use a general rotation numbering system for quick reference.

For example,
Rotation 9, October 20, 2020 - May 10, 2021, fol.3

We do the same thing and use Venues in the Exhibition module to record object rotations in our long term exhibits. By doing that we can look up a list of everything that has been on display in an exhibit and the dates individual pieces were on display. For the Venue Mnemonic we use the exhibit name and add "rotation 1 (2, 3, etc.)".

We use the Exhibitions module to record all exhibition data, and use venues as a way of recording rotations. The Venue Mnemonic field was repurposed as Rotation, and is repeated for each rotation. Object-specific details such as components, sections exhibited are recorded in the object venue remarks field per rotation. Same for plain-old venues, if the show travels, and there are no rotations.

Subject: Format for gallery rotations in the exhibition history field

External Email - Exercise Caution
Good Afternoon TMS Users,

I’m reaching out to find insight on how institutions record gallery rotations in the exhibition history field as our staff has expressed an interest in placing this data here. Our staff feels it is important to record when an object was rotated in and out of a gallery rotation or a permanent installation due to exhibition restrictions (light levels). I’ve suggested they search the location history; however, they find searching this way difficult. Plus, it does not display with the other exhibitions.

Listed below is our format for capturing an object when it has been placed in an exhibition (single vs. multi-venue).

Examples:
"Honore Daumier: The Heroism of Modern Life," Royal Academy of Arts, London, October 22, 2013 - January 26, 2014.

"Masterpieces from the Philadelphia Museum of Art: Impressionism and Modern Art," Kyoto Municipal Museum of Art, Kyoto, Japan, July 14 - September 24, 2007; Tokyo Metropolitan Art Museum, Tokyo, October 10 - December 24, 2007.

I’m fine with modifying our current format for this need but wanted to see if anyone else is already doing this. I appreciate the insight from my fellow TMS users.

Have a great day!
Renee
