Collections Database Manager
Department: Collection Information & Digital Assets
Type: Regular Full-Time; Hourly/Non-Exempt

Reporting to the Head of Collection Information & Digital Assets (CIDA), the  Collections Database Manager serves an integral role in maintaining The Museum System (TMS), the museum’s collection management database, and providing user support for staff across the museum. Further, the Collections Database Manager serves as the lead liaison with multiple stakeholders, including Curatorial, Publications and Web team staff, advocating for the establishment of workflows that will improve both access to and the quality of data, e.g. completeness, accuracy, inclusivity, etc., and underscore TMS as the central repository for the most current information. Working with the rest of the CIDA team, the Collections Database Manager is the point person on database functionality, standards, and protocols; as well as assisting with coordinating logistics of larger TMS-related projects such as database upgrades, collection inventories, and interdepartmental workflows. They are also the primary contact with the Information Systems and Web & Digital Media teams for intersystem projects involving TMS.

RESPONSIBILITIES:

  *   Administers and troubleshoots day-to-day TMS functionality
  *   Maintains user accounts, security groups, data hierarchies and standards
  *   Oversees auditing of the database
  *   Writes/updates training materials and implements best practices
  *   Creates and modifies Crystal Reports, SSRS Reports, SQL queries and custom data views
  *   Provides support in planning and executing upgrades, plugins, data cleanup and data migration projects
  *   Writes in-depth analytical reports on collection data for research and interdepartmental projects
  *   Provides advanced training and support for the Collection Information Specialists
  *   Provides advanced database training and guidance for TMS power users as well as general user support via the CIDA hotline
  *   Works with the administrators of other CIDA systems to support their integrations with TMS and other CIDA projects
  *   Oversees the integration and transfer of data between TMS and LACMA’s Collections Online platform
  *   Participates in the planning of collection-related projects throughout the Museum, including creating workflow, designing custom views/fields, and writing reports
  *   Performs other duties or special projects as assigned

QUALIFICATIONS:

  *   Degree or demonstrated experience in Museology, Library Science, or a related field
  *   At least three years’ experience with a museum collections management database, preferably TMS in an administrative capacity
  *   Experience with SQL, SQL Server Reports, Crystal Reports, advanced knowledge preferred
  *   Knowledge of data standards for museum collection management and culturally inclusive practices
  *   Experience providing user support and training in a team environment
  *   Knowledge of published vocabularies, standards, and linked data tools such as the AAT, TGN, ULAN, LCNAF, and Wikidata
  *   Experience with digital asset management, project management, and agile methodology is preferred
