External Email - Exercise Caution Hi Kim and Hannah, we are still in the process of getting our exhibition management processes into TMS Collections so I am very interested in this subject. We are planning to use repeatable flexfields (in data / out date / page turn date) in the exhobjxrefs contexts and, as they do not display nicely (in, in, in, out, out, out instead of in-out, in-out) build a data view for display. In the objects context, the changes are recorded through the object movements. One problem with this is that people have to think of putting this information into the exhobjxrefs and additionally moving the object in the objects module; the other question is how to best record the exhibition history of the object. Also, we are still thinking about whether it it would work to use the said flex fields for planning the rotations or whether additional fields would be necessary. For in/out one could always to a query to look for objects with a in/out date in the past and no matching object movement to identify incoherences. We are still not sure about the on/off view status – it would be nice to have it as a filter for queries but it is another field to have in mind likely to be forgotten. I am thinking about whether we could refresh it via an update script when the object is moved but that will not help for reproductions or object images in media installations. We have tried a few iterations (organizing a full floor of galleries within one Exhibition record, giving each gallery its own exhibition record + managing with Exhibition packages) and currently employ many fields you mentioned here, such as On View Status and Sub-Section, as well as Included/Excluded in venues.
