In the Smithsonian we are required to make sure user accounts don't languish and are either disabled or deleted. I'm very pro deleted because the stakes of recreating an account are extremely low - a remade account will reinherit the object packages of the same name so there's no issue there. When I started at air and space we had close to 300 users, but I got that down to as of right now 194 through elimination of a ton of extremely inactive accounts as well as users who hadn't logged in in 5+ years (but nonetheless still work here, separate issue of where are they getting their collections information from, but that is def not unique to us) The only time we don't delete an account is if we have a contractor who 'leaves' but is going to return for a future project - this allows them to continue to use our barcode system and avoid the bureaucracy to get another network account (which can take weeks) [NASM Logo.] Jeremy Munro (he/him) / Database Administrator NATIONAL AIR AND SPACE MUSEUM o:202-633-0063 / [log in to unmask]<mailto:[log in to unmask]> AIRANDSPACE.SI.EDU<http://airandspace.si.edu/> From: The Museum System (TMS) Users <[log in to unmask]> On Behalf Of Karen Hines Sent: Thursday, June 13, 2024 6:40 PM To: ListServ tmsusers <[log in to unmask]> Subject: Deleting Users External Email - Exercise Caution Hi, We have a large number of user accounts in TMS db config (many inactive). I often have accounts set up for trusted student interns, who may only work for us for 1-4 years on a particular project. Currently, those accounts are inactivated (but not deleted) when the student completes working for us. I am considering deleting these accounts from dbconfig in order to keep our list to current users. If you have done this please let me know if you have encountered any downsides to doing this.
