Air and Space’s workaround is clever, thanks for sharing Jeremy! At NPG, we enter Parent-Child associations, with the recto getting a “.A” extension on the object number and the verso getting a “.B”. Object Location is the biggest challenge, for sure. We were unable to implement the separable object feature when it was introduced because we would have lost too many existing object histories. In TMS, we can’t tell which “inseparable” object is actually on view based on the object’s location, and we have to refer to related exhibitions. This is not ideal, and it’s great to hear others’ approaches! Back on the main topic: our versos are checked as virtual objects, as are all records for portraits included in books and other single objects that include multiple portraits.

Howdy,

So two things:


  1.  At Air and Space we do a neat thing with locations we call “Installed On” – since aircraft parts can be installed on other aircraft we needed to come up with a way to track something that is not part of the object (it was accessioned separately and could be removed at any time). What we settled on was creating a Location in the location hierarchy called “INSTALLED” and the locations beneath that are the parent object numbers.

So for example if the object 2024-1-1 was installed on 2023-1-1 then the location would read INSTALLED 2023-1-1 on the parent record (2024-1-1). I’d never seen that before I started here, but I could imagine it working quite well for drawings on the reverse. The upshot of this method is you only need to worry about the location of one object and gain all the advantages of a second object record.

I used to be hard and fast pro components or pro records at various points, but in the past few years I’ve come to the position there is no one size fits all solution for any record and to just do what works best in terms of usability, findability, and mechanics.

Hi Fatima,

We have a sizeable number of double-sided paintings/drawings, and we do the rectos and versos as intellectual children of the main double-sided object record.  This is helpful for us because each intellectual child record has its own conservation records.  So one side might have been displayed and thus has light restrictions, whilst the other would not.  But having them as intellectual children rather than separate records also helps us, in terms of inventory, object surveys, and storage planning.

I’m not sure if this is useful but here at the Henry Moore Foundation we have catalogued recto and verso of drawings as separate objects.
We have also catalogued Moore’s sketchbooks as separate objects, and related each page as a bound or unbound page to a sketchbook where possible.

We use the following numbering system (we don’t add ‘recto’ just ‘verso’ and we only record a verso’s if there is drawing – not blank pages.

Components?
Single record with multiple titles?

If intellectual children or components, how do you number them?

a & b?
r & v?
Do you spell out xxx.x Recto and xxx.x Verso?

What do you do when there are two different sketches on the same side?
