Business Applications Administrator, Collections Information, The J. Paul Getty Museum
 
Under the supervision of the Manager of Collections Information, the Business Applications Administrator (BAA) has responsibility for coordinating support for all aspects of the development, implementation, maintenance, and use of the Museum's online collections management system (TMS) which is used by the registrarial, curatorial, conservation and education departments to access information and manage the collections. 
The BAA has primary responsibility for the day-to-day maintenance of the application, ensuring that information entered into the system adheres to the latest data standards, and that end-users can retrieve correct and up-to-date information giving them the ability, for example, to process and track loans, conduct research on the collection, locate curriculum guides, maintain audit records, enter information on new acquisitions, research provenance, and upload information about conservation treatments. Portions of the data in the application are made available in the Museum's public access system, on the Web, and through educational consortial initiatives. The BAA also serves as a resource to other Trust-wide programs assisting them with the conversion/entry of their data to the TMS application. 
Main Duties: Responsible for the management of all data in the database, including monitoring the status of all files, screens, and reports in the system and ensuring that data entry conventions are maintained. Adds, edits, and deletes records as necessary. Develops procedures for adding and editing data in the database, for handling user problems, for report modifications and additions, and for making changes to the system. Serves as the main liaison between application vendor, technical services, and users of CIS. Assists in the software design, including screen and report formats, as well as with the hardware configuration. Responsible for general system maintenance and operation. Runs backups and preventative maintenance programs. Coordinates support of system by hardware and software vendors. Works closely with departments that support back-end maintenance of CIS, and provides additional technical support and expertise, as needed. Creates documentation to serve users needs, supports museum policies, and adheres to best practices and accepted standards. Proposes, develops, and manages data clean-up projects in addition to other projects that serve to better maintain information on the collection. Monitors data integrity and ensures system performance. Provides leadership and training in the use of the CIS. Answers requests for information from other museums about the collection information system. Seeks exchange of information with other institutions that have collections information systems or art indexing programs. Attends conferences, TMS users group, etc. Oversees upgrades to the system, conducts testing of new versions, and serves as primary contact for errors or problems with the application. Interacts with staff across the Getty and facilitates relationships among departments. 
Requirements, Skills & Abilities: Master's degree in art history with coursework in information management; MLS preferred. 5-8 years business applications experience, including with staff supervisory and project management experience. Broad knowledge of current cataloging rules, museum metadata and vocabulary standards, as well as best practices. Understanding of different information systems and comprehensive knowledge of systems architecture. Excellent organizational skills, technical expertise, and affinity for complex analytical, detailed work. Ability to work independently, but cooperatively in a rapidly changing environment. Ability to provide training to groups and individuals on a regular basis.
