Adding to what Bob said - I would like to clarify the DexID field in TMS
2010 that Kate mentioned in her posting: 

 

This is not at the exhibition level but instead at the exhibition object
level. The screen label is Exh Obj Number.

 

Each object in an exhibition can have its own number. It is an optional
field and can be implemented as you see fit for your internal workflow. 

 

An example of how this is used is each object that is added to an
exhibition is assigned a sequential number (usually starting with 1 for
each exhibition) which does not change, even as objects are added or
removed from the exhibition during the planning process. This is
separate from the catalogue number, which can change or be reassigned as
the exhibition goes through the conceptual and planning stages. This
provides a persistent number when referring to objects in discussions
and memoranda between curatorial, exhibitions planning and registrars.

Hi Kate and Suzanne, 

 

  The intended use of the Exhibition Mnemonic is as a shorthand
description for the Exhibition Name.  Just like Chad described.     Here
is the  Shift + F1 description of this field  from TMS 2010 R2 

 

Exhibition mnemonic, or abbreviation (for example, an exhibition may
have a long official title but is referred to internally by a shorter
working title)

 

Having a mnemonic is also useful if you are writing reports with a
limited amount of real estate, you can rely on the Mnemonic field being
of limited size so you won't have line wrapping or text cut off.

Hi Suzanne, I'm puzzled as to the intended use of the Exhibition
Mnemonic field myself. I can tell you that when you create a new
Exhibition record, it auto-populates with the first 32 or so characters
of your exhibition title. It might also be useful for you to note that
each exhibition does have it's own ID, just like Object IDs, though it's
not visible on the record. In version 2010 this ID (called a DexID I
believe) is fully visible on each exhibition record. If you plan to
upgrade soon you might just want to wait it out instead of adding a
different number to the mnemonic field.

 

Also, just a follow up to Chad's suggestion, which I like very much -
you can configure TMS to allow duplicate mnemonic values and exhibition
titles. Its in Database Config > Exhibitions.
