As long as our collection is open to the public, there will always be “incidents” occurring. Fortunately nothing so intentionally malicious as a slashed painting or an axe to a sculpture; nonetheless, there are many times when someone falls against, runs into, or—just for grins—pulls out a drawer from a desk to see “if it’s real!”

When these happenings are noticed by our security officers, an incident report is written and sent to the appropriate collections departments (curatorial, conservation, registration), among others. These reports are scanned and attached to the TMS object record in the Conservation screen (we’re running TMS2016 R2) with a Survey Type=Incident Report and a Line Item Attribute Type=Incident Report. The Survey Date is noted when the incident occurred.

Tracking such events allows us to pull statistics to show the administration the need for more and better security in our galleries. It also gives us credibility when we request aesthetically designed barriers for displaying the collection.

Dear colleagues

I’ve been discussing starting to log reports of damage to paintings in TMS with my curatorial colleagues. I see there is no ‘loss / damage’ module in TMS,* so am considering using the Conservation module. But before I do anything, I’d be interested to know how the rest of you are recoding this kind of information – and, if you’re willing to share them, I’d love to have a look at your guidelines for doing so.
