*Job Summary*

This position is charged with the continuous maintenance and enhancement of
the Society's Museum Division collections database and content, as well as
troubleshooting database-related end-user problems. The administrator works
within the Collection Management team and in collaboration with Museum
Curators in establishing guidelines for cataloging and data entry;
developing and maintaining output reports, monitoring webpage interfaces,
and training new database users.

*Major Responsibilities*

Responsibilities include the management of *TMS (The Museum System)* in
support of the N-YHS Museum Division.* *This includes TMS Configuration
(adding new users, configuring user security groups, adding location/data
fields, etc.), TMS data entry, and writing and editing reports in *Crystal
Reports*, while providing for proper and consistent data entry as per
approved museum standards; supporting the Collections Management Department
in establishing guidelines in collaboration with curatorial staff for how
and where cataloguing and other data is entered into the database;
development of ongoing training workshops for all staff to ensure effective
use of the database as a tool for research; development and implementation
of strategies for data clean-up.

The Database Administrator will maintain a working knowledge of systems and
software, and inform staff of upgrades as appropriate; will coordinate with
the museum’s Information Technology department for maintenance of back-up
systems; will maintain and update *TMS *user manuals; and will create new
working reports as required by all departments.

*Additional Responsibilities*

Additional responsibilities include database image processing, occasional
technological advisement to management and liaison with IT department on
general technical issues relating to the Museum Division. Additionally,
gather images and information about exhibitions for use on the website as
well as to monitor and report about ongoing problems and issues with the
collections website to PR, IT and the website developer. Will also manage
information and images on e-museum.

Special projects may be requested, such as the assistance with
*Powerpoint *presentations,
etc.

*Knowledge and Skill *

The ideal candidate should have prior museum experience and strong
knowledge of computer hardware and software, and of databases broadly
construed. MS SQL Server, MS Access, and The Museum System (TMS) and
Crystal Reports experience required. Photoshop, Bobcat and Filemaker
experience preferred. IIS/ASP experience is a plus.

Must possess excellent communication skills, be committed to working in a
team environment and have a BA [MA preferred] in Art History/American
History and/or Museum Studies. MCDBA certification preferred.
