Collections Information Specialist

The Virginia Museum of Fine Arts seeks a Collections Information Specialist (CIS) to oversee all aspects of the museum’s collections management system, The Museum System (TMS). This position will ensure the ongoing development of TMS by managing the day-to-day use and long-term system goals.

The CIS will create customized trainings and provide museum-wide support to increase user abilities, and implement expanded use the system to streamline internal workflows.  Other duties include managing TMS user accounts, creating reports, maintaining documentation for cataloging standards, auditing database records for consistency, and overseeing system upgrades.   The CIS will also serve as an advocate for digitized and centralized collection information in all forms.

Reporting to the Registrar for the Permanent Collection and working closely with staff in registration, curatorial, library, education, conservation, imaging, and IT departments, this position will help to develop creative uses of collection information and establish information usage policies. This position will manage vendor relationship with Gallery Systems and liaise with DAM vendor Piction as necessary, and support digital consultants for collection projects.

Qualifications: Graduation from an accredited college or university with a Bachelor’s degree in Art History, Museum Studies, or related field preferred. Significant years of relevant experience in a museum or related environment required.  Thorough knowledge of standard museum collection management processes and procedures including cataloguing, accessions and deaccessions, loans, exhibitions, location moves, etc.  Demonstrated ability in TMS required, preferably at a systems administrator level. Experience with Crystal Reports, SSRS, and/or SQL preferred. Excellent and proven communication and project management skills. Ability to work independently and with all levels of staff.  Interest in relational databases, data management, and emerging practices.



Hiring Range:  This position is full-time and includes full state benefits.  Salary will be determined based on qualifications and experience.
